Hi Gleap team,
We use Kai Support (our agent is called Rocko) on myrepublicdigital.com to capture sales leads. Rocko asks the visitor for their name, business, phone, best time to call and email, reads it all back, then hands off with the "Pass to support team" capability.
The problem: in longer or messier chats, Kai forgets details the visitor has already given and asks for them again. It's worse when the visitor answers out of order or gives a bad value first. Tightening the prompt helps, but doesn't fix it. To the customer it looks like we aren't listening, and some drop off.
Example 1: forgets name and business after a bad phone number
Visitor: i want a website, call me
Kai: ...What's your name and the name of your business?
Visitor: Bob
Kai: Thanks, Bob. What's the name of your business?
Visitor: Bob's Mowing
Kai: What's the best phone number to reach you?
Visitor: 123
Kai: That number looks a bit short. Could you share your full best phone number?
Visitor: asdf
Kai: What's the best time for the team to call you? You can share your email instead of a phone number.
Visitor: fine 0412 345 613
Kai: What's the best time for the team to call you? "Whenever" is fine.
Visitor: mornings
Kai: What's the best email for you? We have your call preference as mornings.
Visitor:
[email protected]
Kai: Thanks. What's your first name and business name? Then I'll read everything back for you to confirm.
Visitor: yep correct
Kai: I still need your first name and business name to complete the details.
Example 2: asks the same question twice in a row
Visitor: monthly sounds good, whats next
Kai: ...What's your first name?
Visitor: yes book me in
Kai: What's your first name?
Example 3: hands off before the details are collected
Visitor: can i talk to a real person please, not a bot
Kai: Sure. What's your first name?
Visitor: Sarah
Kai: One of our team will follow up with you shortly.
(No phone, email or business captured, so the team has nothing to follow up with.)
What we'd like:
1. A "Collect contact details" capability, or an option on "Pass to support team", where we pick the fields we need: name, email, phone, company, plus custom attributes like "best time to call".
2. Kai saves each value to the contact's attributes as soon as the visitor gives it, with basic checks for email and phone format.
3. Kai always sees those attributes in its context at the right moment, as a short "collected / still missing" checklist, so it only asks for what's missing and never repeats a question.
4. Optional: before handoff, show the visitor a small card with their collected details (name, email, company, phone) that they can confirm or edit.
5. An option for "Pass to support team" to only fire once the required fields are filled, or the visitor declines to give them.
Why it matters: leads arrive in the inbox as complete contacts with company details, customers aren't asked the same thing twice, and our team gets a clean summary to act on.
Happy to share more chat examples or test a beta.
Thanks,
Brodie Byrne
